Effective August 20, 2026
This policy explains how The Automation Firm (“TAF”, “we”, “us”), operated by Charlie Golf One LLC, handles information in the TAF Suite dashboard at dashboard.automationfirm.ai and in the TAF Suite iOS application.
TAF Suite is business software. It is licensed to organizations, and the people who use it are employees or contractors of those organizations acting in a work capacity. It is not a consumer product, and it is not offered to the general public.
Your name, email address, and organization membership, supplied when your administrator invites you. Authentication is handled by Clerk. We never receive or store your password.
The working content of the CRM: the names, addresses, phone numbers, and access notes of the businesses your organization visits; the names, roles, phone numbers, fax numbers, and email addresses of professional contacts at those businesses; and the dates, categories, and written summaries of visits your team records.
This information describes businesses and the people who work at them in their professional capacity. TAF Suite is not designed for, and should not be used to record, patient information, medical records, or any other individual health information.
Photographs you choose to attach to a visit record, typically a business card. These are captured only when you open the camera or photo picker yourself. The app does not access your photo library in the background.
If you grant location permission, the app uses your device location to center the facilities map on where you are. This happens on the device while the map is open. Your location is not written to a visit record, not stored on our servers, and not used for tracking. Location permission is optional, and every screen works without it.
A push notification token, if you enable notifications, so we can deliver alerts to your device. Notification payloads are deliberately content free. We may also collect crash reports and error diagnostics to fix defects.
If you enable biometric unlock, the check is performed entirely by iOS on your device. Your biometric data never leaves your device and is never transmitted to or stored by us.
We do not sell your information. We do not share it with advertisers. We do not use it to build advertising profiles, and we do not use your organization’s business records to train machine learning models.
TAF Suite includes optional AI Agents, such as the Daily Brief, that you can connect to your own Google account. When you connect Google, you authorize The Automation Firm to:
calendar.readonly scope). We read the events on your calendar for the current day to assemble your brief. We never create, edit, or delete events.gmail.send scope). We use this solely to deliver your brief to your own inbox. The agent never reads your email, and it never emails anyone other than you.How this data is used. Your calendar events for the day are assembled into a brief and delivered to your own email address on the schedule you choose. To write the single summary sentence at the top of the brief, the day’s meeting times and titles are sent to our AI provider, Anthropic, solely to generate that sentence; that content is not used to train any model. The account connection itself is brokered by Nango. Your Google data is processed only to provide the brief you requested. We do not sell it, share it with advertisers, use it for advertising, or use it to train machine-learning models, and no human at The Automation Firm reads your calendar or email content in the ordinary course of providing this feature.
Your control. You can disconnect Google (or Zoom) at any time from the agent’s page in the dashboard, which revokes our access and stops all future briefs. On disconnection or account closure we delete the stored connection.
Limited Use. The Automation Firm’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Your organization’s records are visible to authorized members of your organization and to TAF staff who administer the service. Records are isolated per organization, and one customer cannot access another’s data.
We use a small set of service providers to operate TAF Suite:
These providers process information only to deliver their part of the service. We may also disclose information where required by law, or to protect the rights and safety of our customers and our business.
We keep your organization’s records for as long as the organization has an active account with us, and afterwards only as long as needed for legitimate business or legal purposes. When an engagement ends, we delete or return the organization’s records on request.
Traffic is encrypted in transit. Access is restricted to authenticated members of the owning organization and enforced at both the routing and data layers. Administrative access is limited to TAF staff who need it. No system is perfectly secure, and we cannot guarantee absolute security.
TAF Suite is workplace software and is not directed to children. We do not knowingly collect information from anyone under 16.
If we change this policy we will update the effective date above, and for significant changes we will notify account administrators directly.
